Privacy Policy

How Groow handles your information, in plain language.

Effective October 10, 2026

The short version

  • We collect what you give us (a demo request, your account, your business details) and what we need to run Groow (sign-in, security and the AI answers we check).
  • We use it to provide Groow, to keep it secure, and to talk to you about it. We don't sell personal information or use it for advertising.
  • We use a small number of service providers, listed below, to run Groow.
  • You can ask us for a copy of your data, to correct it, or to delete it.

Who we are

Groow LLC ("Groow", "we") is a Montana limited liability company. This policy covers groowgroup.com and the Groow app at app.groowgroup.com. It explains what personal information we collect, how we use it, and the choices you have.

Groow helps businesses and agencies see how AI assistants such as ChatGPT, Claude, Gemini, Perplexity and Google's AI talk about a business, and improve it. Most of what Groow works with is information about businesses, not about people.

When an agency or business adds its clients' or its own information to Groow, we handle that information on its behalf and under our agreement with it.

What we collect

Information you give us:

  • Demo and AI scan requests: your name, email, phone number, business name, website, city or service areas, goals and the plan you're interested in.
  • Your Groow account: your name, email address and sign-in details. Sign-in is handled by our sign-in provider; if you use a password, it stores it, not us.
  • Your business details: website, profiles (Google, social pages), name, address and phone as you want them listed, competitors, the questions to track, what you want to be known for, notes and any logo you upload.
  • Account access: the links you give us to accounts you've shared with Groow (for example a Google Business Profile). We never ask for your passwords.
  • Messages you send us.

Information collected automatically:

  • Cookies the Groow app needs to work: your sign-in session and which workspace you last opened. This website sets no tracking cookies, and we don't use advertising or analytics trackers.
  • IP address and browser details, used for security: to block bots on our forms and to limit free trials.
  • An activity log in the Groow app (who changed what, and when), so your team can see changes.

Information from other sources:

  • The public pages of a website that's added to Groow, read by our crawler, GroowBot.
  • Answers from AI assistants to the questions we track, and public search, ranking and link data.
  • For link outreach that a client approves: the publicly listed contact for a website, so we can ask about a link.

How we use it

  • To provide Groow: tracking AI answers, building reports and recommendations, and the work our plans include.
  • To create and secure accounts, prevent fraud and abuse, and keep each workspace's data separate.
  • To respond to demo requests, support questions and other messages, and to send messages about your account.
  • To bill for paid plans.
  • To improve Groow, using aggregated information that doesn't identify you.
  • To meet legal obligations.

We don't sell personal information, and we don't share it for cross-context behavioral advertising.

AI processing

Groow sends questions about businesses (for example "Who's the best HVAC company in Billings?") to AI platforms, and uses AI to read the answers. These requests go through the providers' paid business services, not consumer apps, and are about businesses, not about you personally. We don't use your data to train AI models.

Free trials and abuse prevention

To give each person one free trial, we keep a record of trials that uses keyed hashes of your normalized email address and your network (IP address), not the email or IP address itself. A keyed hash can't be turned back into the email address. We keep this record after an account is deleted, only to stop the same person from starting repeated free trials.

Who we share it with

We share personal information only as needed to run Groow, with service providers in these categories, who may use it only to provide their service to us. A list of our current providers is available on request.

We also share information:

  • With your agency, if an agency manages your Groow workspace, and with people you invite to it.
  • With anyone who has a report link you create: a shared report can be opened by anyone with the link until you turn it off or it expires.
  • With the accounts you connect to Groow (such as Google or Meta), when we act on them for you.
  • If the law requires it, to protect rights and safety, or as part of a merger or sale of our business (with notice to you).

How long we keep it

  • Account and workspace data: for as long as the account is active. When you delete a workspace or ask us to delete your account, we delete its data, except as below.
  • Backups: deleted data can remain in our database provider's backups for up to 30 days before it's overwritten.
  • Billing and legally required records: as long as the law requires.
  • Free-trial records: as described above.
  • Demo requests: as long as we're in touch about Groow, or until you ask us to delete them.

How we protect it

Data is encrypted in transit. Each workspace's data is kept separate at the database level, our service keys are kept on our servers and never sent to browsers, shared report links are stored only in hashed form, and access is limited to the people who need it. Groow staff may open your workspace to help you or fix a problem; each visit is time-limited and shows in your workspace's activity log. No system is perfectly secure, but we work to protect your information and will tell you if a breach affects it, as the law requires.

Your choices and rights

You can update your details in the Groow app at any time. You can also ask us to give you a copy of your personal information, correct it, or delete it. Depending on where you live, you may have other rights, such as to object to or limit some uses. Contact us to make a request; we'll respond within 30 days and won't treat you differently for asking.

Residents of California and other states with privacy laws can ask to know, access, correct and delete their personal information, and to opt out of its sale, sharing or use for targeted advertising. We don't sell or share personal information or use it for targeted advertising. You can make a request yourself or through an authorized agent; we'll verify the request before acting on it.

If an agency manages your workspace, it decides how your business's data is used in Groow; we'll pass your request to them where appropriate.

Children

Groow is a business service, not intended for anyone under 16. We don't knowingly collect personal information from children.

Where your data is processed

Groow is based in the United States and processes data in the United States. If you use Groow from elsewhere, your information will be transferred to the United States.

Changes to this policy

We'll update this page when our practices change, and change the date at the top. If a change is significant, we'll tell account owners by email or in the Groow app before it takes effect.
